In this role, you’ll work closely with the Recreation and Senior Services Superintendent to help shape the daily experience of our vibrant Recreation & Senior Center. You’ll play a key leadership role—guiding operations, supporting staff, and ensuring our facility runs smoothly for the community we serve.
The Recreation Manager works under the supervision of the Recreation and Senior Services Superintendent. This role performs high level planning, organizing, and supervisory duties to guide Louisville Recreation & Senior Center operations. The selected candidate is responsible for daily operations, managing front desk Guest Service operations and functional supervision of staff and facility maintenance operations. Responsible for maintaining membership and program database in RecTrac software platform. Performs administrative duties related to promotional and operational activities of the Recreation & Senior Center. Develops and manages budgets and monitors fiscal health of the Recreation & Senior Center. Provides all staff and IT support of the Rectrac Software. Involves frequent interaction with staff, program participants, and the public, requiring strong communication and customer service skills. Oversees daily operations across various areas of the facilities.

Examples of Duties
Coordinate activities and responsibilities of Guest Services operations
Supervise the positions of Facility Assistant and part time guest services, party attendant and MOD.
Hire, train, coach, establish goals, and conduct employee performance appraisals for direct reports as needed
Administer program registration functions; maintain computerized registration system
Manage RecTrac and WebTrac and mobile app software; provide in-house technical support and training for new and existing employees
Manage all credit card processing and maintain PCI compliance
Maintain public-facing facility web pages on City website
Maintain membership records; notify members of pending expirations; process auto-debits for membership fees; authorizes purchases and other payments and refunds
Prepare seasonal catalog information
Oversee fee structure and fee collection for membership passes and daily admission
Prepare daily cash reports and makes cash deposits; prepare daily and monthly activity and revenue reports
Maintain and manage petty cash for the division
Manage auto debit billing system for membership fees and monthly ACH processes.
Coordinate with Finance department to journal entry revenues received through ACH and direct deposits from Silver Sneakers Tivity, and Renew Active
Regularly audit facility financial status
Prepare and process records such as invoices, payroll, supply requests, or incident forms for Center operations.
Coordinate Recreation Center facility rentals and birthday parties; support park shelter rentals for Parks Division
Assist with department special events as needed
Manage the Recreation Center Reduced Fee Program for program
ESSENTIAL SUPERVISORY DUTIES:
Develop and/or participate in the development of staff work plans, measures and tracks. progress towards goals, prepares and conducts timely and constructive performance appraisals.
Make decisions or recommendations for hiring, promotions, transfers, disciplinary action, and other personnel actions as necessary.
Coach, counsel and support staff to maximize efficiency and effectiveness.
Consistently educates and advises staff on organizational rules, regulations, policies and procedures.
Support creative thinking and problem solving and encourages participatory decision making when appropriate.
Provide training and job enrichment opportunities for direct reports and encourages professional growth and development.
OTHER DUTIES AND RESPONSIBILITIES:Conduct facility tours for new patrons and corporate accounts
Monitor participants and activities in the facility for staff and guest safety concerns
Coordinate with IT in ordering hardware and updating software
Act as direct liaison with Center software vendor for technical assistance and software improvements
Act as division lead when Superintendent is absent
Assist with the preparation of capital requests and project management through the budget process as needed.
Other duties as assigned.
Regular and predictable attendance required.
Requirements
EDUCATION, TRAINING, AND EXPERIENCE:
Bachelor’s degree in Recreation Administration, Business, Finance or related field. Masters preferred.
8-10 years of experience in a recreation or related facility in a full-time capacity.
5 years of Supervisory experience.
An equivalent combination of acceptable training, education, and experience may be considered.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of the principles and practices of public recreation
Working knowledge of recreation operations
Knowledge of modern management methods and practices
Knowledge of financial and accounting principles and practices
Extensive knowledge of computerized registration system RecTrac and WebTrac
Schedule and manage staff schedules using WhenToWork software
Ability to plan, assign, coordinate, direct, and evaluate the work of subordinates
Ability to communicate clearly, both orally and in writing
Ability to conduct and maintain effective public relations
Ability to establish and maintain effective working relationships with other City employees and the general public
Skill in the use of a personal computer and various applications programs
Skill in providing mutually acceptable solutions to member problems
Ability to exercise independent judgement
Handle multiple tasks with competing priorities and work with minimal supervision
Ability to collect, compile, and analyze information and data
Ability to work with staff and volunteers and to coordinate activities of both
Ability to follow established guidelines concerning facility operations such as usage policies, emergency procedures, personnel supervision, revenue receipts and accounting
Demonstrate the ability to establish and maintain effective working relationship with co-workers and other City staff
Knowledge of basic computer operations and high level experience with Microsoft Office suite
Demonstrate constructive problem-solving
Demonstrate initiative in performing job tasks
Must be able to work independently and have self-initiative
Must have independent decision-making ability
Demonstrate effective time management to achieve operational goals
Communicate effectively with individuals and groups using clear and concise verbal and written communications.
Additional Information
LICENSE, REGISTRATION, OR CERTIFICATE:
Current AED, First Aid, and CPR certifications within ninety (90) days of hire and maintained throughout employment.
