Description
Established Association Management Company is seeking an organized, detail-oriented, courteous individual to serve as the Bookkeeper to multiple statewide 501(c)(6) non-profit trade associations and 501(c)(3) foundations. Non-profit accounting experience preferred. The organization is moving from Sage BusinessWorks to QuickBooks Enterprise, and we are looking for a bookkeeper with a high level of expertise in QuickBooks Enterprise. This position will require preparation of monthly reports for all entities including budget to actual and comparative income statements, a balance sheet, and supplemental reports, as requested by the clients.
Duties Include:
All bookkeeping will be done in QuickBooks Enterprise.
Association Management division invoicing
Collect and deposit CAMS division receipts and providing details to the corporate accountant
Maintaining current clients’ accounting as well as setting up new clients accounting, classes and departments, in QuickBooks Enterprise. Book cash receipts and apply them to the correct accounts. Cash receipts include:
o Checks mailed to the office
o Authorize.net credit card receipts
o PayPal Receipts
o Shopify Receipts
Manage Accounts receivables for all clients
Manage Accounts payable for all clients
Bank and Investment account reconciliations
Preparing and making check deposits every two weeks.
Preparing sales tax returns
Year-end projections & draft budget preparation & participate in budget committee meetings
Filing 990Ns with IRS and 199Ns with FTB for regional association chapters and foundation
Work with an outsourced CPA firm to:
o Verify account structures for new clients
o Schedule and facilitate a financial audit or review as requested by the client(s)
o Utilize as a resource on bookkeeping issues that require direction
Compile year-end financial reports and supplemental information to the outside CPA for tax return preparation
Requirements
3 + years of experience in a similar role.
Understanding fundamental accounting principles and the accrual/cash basis of accounting.
High level of experience working with QuickBooks Enterprise, and understanding functions including:
Establishing and editing a chart of account
Booking of cash receipts and payables
General Journal Entries
Recording and tracking deferred revenue, prepaid expenses and recognizing when appropriate
Strong customer service, problem-solving, and interpersonal skills.
A strong attention to detail.
Proficiency in Microsoft Office, Microsoft Teams, Adobe Acrobat, etc.
Team-oriented mindset with strong collaboration skills.
Excellent organizational and project management skills.
Ability to multitask; demonstrated experience with effectively managing multiple competing priorities.
Proven ability to consistently meet deadlines, keeping leadership informed of progress and barriers.
Proficient in reading financial statements and able to provide an overview of the reports to client and/or executive director.
