Overview
About the Role:
The Account Coordinator supports day-to-day facilities operations by reviewing, processing, and managing work orders within the OPX system and client work order platforms. This role ensures accuracy, timely follow-up, and clear communication with internal teams, subcontractors, and clients. The Account Coordinator helps maintain service excellence through strong attention to detail, tracking work progress, and producing operational reports.
Responsibilities
What You’ll Do:
Review incoming work orders in both OPX and client work order systems for accuracy, required details, and scope.
Enter and maintain work orders in the OPX system according to company standards.
Monitor client work order portals for updates, new requests, notes, or required actions.
Prioritize and assign work orders based on urgency, SLAs, and client requirements.
Track work order progress from initiation through completion across both systems.
Ensure all required documentation (photos, notes, completion details) is received and properly uploaded.
Communicate with field teams, subcontractors, and vendors regarding scheduling, updates, and clarifications.
Follow up on outstanding or overdue work orders to ensure timely resolution.
Generate daily, weekly, and monthly reports on work order status, performance, and SLA compliance.
Maintain dashboards, logs, and OPX reporting tools to support operational visibility.
Provide operational summaries, data insights, and status updates to leadership and clients.
Assist Account Managers with client communications and service updates.
Support special projects, urgent requests, and service changes.
Maintain organized work order files, documentation, and account records.
What We’re Looking For:
1–3 years of experience in facilities services, operations coordination, or administrative support.
Experience with work order management platforms (OPX and/or client-facing portals).
Strong attention to detail and accuracy in data entry.
Excellent communication and follow-up skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite (Excel, Outlook, Teams).
Strong customer service mindset with the ability to collaborate across teams.
Preferred Skills
Knowledge of facilities services, janitorial, maintenance, or vendor-managed operations.
Experience generating operational or performance reporting.
Familiarity with SLAs, subcontractor coordination, and the work order lifecycle
